9-Step Container Loading Photo SOP: Avoid 90% Cargo Damage Disputes | Judphone

Are you tired of endless arguments over cargo damage or shortages? The root cause of most disputes is improper loading photography. Photos aren’t just a formality—they are your hardest evidence. Follow Judphone’s 9-step standard procedure to protect your supply chain.

ⓘ 1. Why is this SOP Critical for Your Business?

  • ✔ Prevent Unfair Blame: If you only take photos of the fully loaded container, you can’t prove whether water damage came from a pre-existing hole or the transport process.
  • ✔ Prove Actual Quantity: Missing a “half-loaded” photo makes it hard to self-prove if there is a shortage of goods.
  • ✔ Transfer of Rights: Once the seal is locked, the rights to the cargo are transferred. A blurry seal number photo can invalidate all previous evidence.

☷ 2. The 9-Step Standard Photo Procedure :

Step 1: Truck & License Plate (整车车牌照)

Action: Take a full shot of the truck and license plate upon arrival.
Purpose: Verify against booking data to prevent picking up the wrong container or loading the wrong goods.

Step 2: Container Number Close-up (集装箱柜号特写)

Action: Shoot the container number clearly (usually at the top right of the door). Ensure letters and numbers are unobstructed.
Purpose: The container number is its “ID card.” Match it with the Bill of Lading (B/L).

Step 3: Empty Container Panorama (空柜全景照)

Action: Open the doors fully and take an exterior shot. Then, step inside to shoot all four walls, the floor, and the ceiling.
Check: Look for holes, leaks, rust, stains, or light penetration.
Note: If any defect is found, take a close-up immediately and report it to avoid taking the blame later.

Step 4: Half-Loaded Photo (半柜装箱照)

Action: Take photos when the container is approximately 50% loaded.
Purpose: Record the stacking and securing (lashing) process to prevent disputes like “you didn’t actually load that much.”

Step 5: Fully Loaded Panorama (满柜全景照)

Action: Before closing the doors, shoot a full panorama of the loaded cargo. Show the complete stacking, securing, and whether it touches the door.

Step 6 & 7: Closing Doors (关闭左右门照片)

Action: Close the Right door first (be careful not to pinch cargo) and take a photo. Then close the Left door and take another.
Purpose: Capture the cargo status at the moment of closing to form a complete evidence loop.

Step 8: Seal Number Close-up (封条/铅封特写照 – THE MOST IMPORTANT)

Action: Lock the seal and take a close-up. The numbers must be highly visible. Verbally verify the seal number on-site.
Warning: The seal represents the transfer of cargo rights. If the number is wrong, ALL previous photos become invalid.

Step 9: Document & Archive (资料归档发送)

Action: Organize photos in the exact sequence above. Label them with Container No., Seal No., and Loading Date. Send to the client and archive them until the claim period expires.

⭐ 3. Golden Rules to Remember

  • 1. Number Accuracy : Container No., Seal No., and License Plate must be triple-checked and visible.
  • 2. Full Process : Before, during, after, closing doors, and sealing—every step must be documented. Never just take a fully loaded photo.
  • 3. High Clarity : No dark, blurry, or obstructed photos. Defects require close-ups.
  • 4. Real-time Shooting : Take photos live. Never take make-up photos afterward. Archive original files.

Turn on your phone’s flashlight in dark containers. Always include securing materials (wood blocks, straps) in the photos.

4. Common Mistakes to Avoid

❌ The Wrong Way ✅ The Right Way (Judphone’s Standard)
Only taking photos when fully loaded. Taking empty, half, and fully loaded photos (Steps 3, 4, 5).
Blurry seal number photos. High-definition seal close-up with verbal verification (Step 8).
Skipping the half-loaded photo. Documenting the loading process to prove actual quantity (Step 4).
Closing both doors and taking one photo. Taking separate photos for the left and right doors (Steps 6 & 7).
Deleting photos after sending them. Archiving original photos until the claim period expires (Step 9).

Don’t let poor documentation ruin your shipment.
